Space Standards

Space standards provide another method of categorizing a space or a subSpace that groups together the size, category, and capacity of the space. For example, you can create a space standard that indicates that spaces that adhere to the Executive Office standard should be between 300 and 500 square feet in size, be categorized as Office/Executive, and have a capacity of 1 person.

Space standards are used in conjunction with position standards to indicate the type of space that should be assigned to a user that has a particular type of position. For example, by using space standards and position standards, you can indicate that lab technicians should be assigned a different type of work space than sales managers.

Once you assign a space standard to a space, you can use this information to search for appropriate spaces to assign to a particular type of employee. For example, if you hire a new Vice President, you can locate all spaces that are defined as Executive Offices.

To open the Space Standard Definition page:

  1. Open the Administration Menu page.

  2. Under the SPACE ADMIN heading, click Space Standard Definition.

    The Admin – Space Standard page opens. All defined space standard values are displayed, listed in order of Tab Order first, then chronologically by Last Update date.

A space standard defines a space classification that can be associated with a position standard. To define a space standard:

  1. Click the Add New link.

    The Add Space Standard dialog box opens.

  2. In the Name field, enter a name for the space standard.

  3. In the Description field, enter a description of the space standard.

    This field can be used to provide more information about the space standard. This value can be up to 1000 characters long. As you type, the character count updates indicating the number of additional characters that can be entered.

  4. In the Area fields, enter two values indicating the minimum and maximum sizes for this space standard.

    For example, you can define that spaces adhering to this standard should be between 200 and 300 square feet.

  5. In the Unit of Measure field, select either square feet or square meters.

  6. In the Active field, select Yes to make this space standard active.

    Inactive values remain in the system, but are not displayed to users.

  7. In the Tab Order field, enter a numeric value.

    The Tab Order indicates the position, in menus, where this value will be listed. Lower numbered values are displayed toward the top of the list. Values will the same tab order will be sorted alphabetically.

  8. In the Space Category field, select the space category that spaces adhering to this standard should belong to.

  9. In the Space Sub-Category field, select the space subCategory that spaces adhering to this standard should belong to.

  10. In the Capacity field, enter the appropriate capacity for this space standard.

  11. In the Capacity Code field, select the type of capacity for this space standard.

  12. Click ADD.

    The space standard is added to the system. The space standard parameters are displayed, including the name of the user who added the space standard and the date and time it was added.

Space standards can be modified. For example, if you want to change the size specified on a space standard, you can modify the area values. To edit a space standard:

  1. Click the Edit link to the right of the space standard you want to edit.

  2. Modify any of the following values:

    • Name – the value that users see
    • Description – information about the space standard
    • Area – the size of spaces that follow this standard
    • Unit of Measure – the unit used to measure the area
    • Active – Yes indicates that the space class is active (displayed to the user)
    • Tab Order – the position in which the space class will be displayed in drop-down menus
    • Space Category – the category associated with the space standard
    • Space SubCategory – the category associated with the space standard
    • Capacity – the capacity associated with the space standard
    • Capacity Code – the type of capacity associated with the space standard
  3. Click UPDATE.

    The modified space standard parameters, including the name of the user who edited them and the date and time when they were edited, are displayed.

ClosedDelete a Space Standard

Space standards that have not been used can be deleted from the system. You cannot delete a space standard if it has been assigned to any spaces or associated with any position standards.

If a space standard has been used but is no longer needed, you can edit it and make it inactive to prevent it from being displayed to users.

To delete a space standard:

  1. Click the Edit link to the right of the space standard you want to delete.

  2. Click the Delete link in the upper right corner of the dialog box.

    A dialog box opens asking you to confirm your choice.

  3. Click OK.
